Specialising in construction estimating The administrative assistant will be responsible for the timely preparation and administration of landscape quotations under the direction of the Projects and Systems Manager. The candidate will also provide administrative support to the Projects and System Manager. Duties include · Administration of enquiry email account (logging incoming queries, filing and circulation of documents and re-directing emails to relevant staff). · Logging and filing incoming enquiries from clients and contractors on projects database. · Liaising with suppliers to establish the best possible rates for the purpose of compiling quotations and tenders. · Scheduling of materials and pricing of project elements. · Preparation of project quotations and returning them to clients in a timely fashion. · Maintenance of the pricing and products database. · Assist the Projects and Systems Manager in the administration and monitoring of live projects undertaken by the company including preparation of safety documentation, project packs for site, monthly valuations for the accounts department and post project handover documents (O&M manuals etc). Required skills and competencies · Proficient in Microsoft Office with specific emphasis on Word and Excel. · Excellent numerical skills · Detail orientated · Previous experience and knowledge of landscaping or construction administration would be an advantage. The ideal candidate The ideal candidate will have administrative experience in a similarly busy commercial construction office. They will have excellent computer and communication skills and should be enthusiastic, motivated, be able to work as part of an established team.
